Privacy policy.

This is a plain version of our privacy policy. We collect very little, we tell you why, and we keep it only as long as we need to. If anything here is unclear, write to us and we will put it right.

QuickFlow is a product of Cloudy Software Limited, a company registered in the United Kingdom. When this policy says we, us or our, it means Cloudy Software Limited. We are the data controller for the information described on this page.

01Who this covers

This policy covers people who visit our website, join the QuickFlow waitlist, subscribe to our newsletter, or get in touch with us by email. It applies to the marketing site you are reading now. Once you become a QuickFlow customer, a separate agreement will cover the data inside your account.

02What we collect

We try to ask for the smallest amount of information that still lets us do the job. In practice that means three things.

Things you tell us directly

When you join the waitlist, we ask for your name, your work email, and a rough size for your business. When you subscribe to Perspectives, our newsletter, we ask for your email. When you email us, we keep the message and your reply address so we can write back.

Things your browser shares with us

Like most websites, our servers record basic technical information when a page loads. That includes your IP address, the page you asked for, the time, and the kind of browser you are using. We use this to keep the site up, to spot abuse, and to protect the waitlist form from automated submissions.

Things we measure, with your permission

If you accept analytics cookies, we use Google Analytics and Microsoft Clarity to see which pages people read and where our writing is unclear. We do not build advertising profiles, we do not sell data, and we do not follow you around the web. You can change your mind at any time using the cookie preferences link in the footer, or .

03Why we collect it

  • To run the waitlist. Your name and email let us contact you when a place opens up. The business size helps us sequence invites in a fair order.
  • To send Perspectives. If you subscribe, we use your email to send the newsletter and nothing else. Every issue has a one click unsubscribe link.
  • To keep the site safe. Server logs and the waitlist spam checks help us block abusive traffic.
  • To improve what we write. Analytics, only if you opt in, tells us which pages help and which do not.
  • To reply to you. If you email us, we keep the thread so the next person who picks it up has the context.

04Our lawful basis

Under UK GDPR we need a lawful basis for each of these uses. Joining the waitlist, subscribing to the newsletter and turning on analytics all rely on your consent, which you give by filling in the form or accepting the cookie banner. Running the site and keeping it secure relies on our legitimate interests in operating a business safely. You can withdraw consent at any time, and you can ask us to stop processing on legitimate interests grounds if you think we have the balance wrong.

05Who helps us handle your data

We keep the list of suppliers short, and we only work with companies that offer standard data protection terms. At the time of writing, these are the ones that touch information described on this page.

  • Our hosting and email infrastructure providers, who run the servers that deliver the site and carry our email.
  • Our newsletter provider, which stores subscriber email addresses and sends Perspectives on our behalf.
  • Google (Analytics) and Microsoft (Clarity), only if you opt in to analytics.

Some of these providers are based outside the UK. Where that is the case, your data is covered by standard contractual clauses or equivalent safeguards recognised under UK law.

06How long we keep it

Waitlist entries stay until we have either invited you in or you ask us to remove you. Newsletter subscriptions stay for as long as you are subscribed. Email threads are kept for up to three years so we can follow up on past conversations. Server logs are rotated within a few weeks. Analytics data, where you have opted in, is kept for the shortest period each provider allows.

07Your rights

You have the right to ask us what we hold about you, to correct anything that is wrong, to ask us to delete it, to get a copy in a portable form, and to object to how we use it. To use any of these rights, email hello@cloudysoftware.co.uk and we will reply within a month. If you are not happy with how we have handled a request, you can complain to the Information Commissioner at ico.org.uk.

08Cookies

Essential cookies keep the site working and remember your cookie choices. These cannot be turned off. Analytics cookies are off by default and will only switch on if you accept them in the banner. You can change your answer at any time using the cookie preferences link in the footer.

09Children

QuickFlow is a tool for people at work. We do not aim any of this site at children, and we do not knowingly collect information about them. If you think a child has sent us their details, please let us know and we will remove them.

10Changes to this policy

When we change this policy in a way that affects you, we will update the date at the top of the page and, where the change is material, email people on the waitlist or the newsletter before it takes effect.
